Non-Profit Reduces Operating Costs through Streamline of IT Processes
Situation
A large non-profit organization focusing on providing health care and social services throughout New England found significant growth through acquisition.
The organizations objective was to provide the best service to its area and to serve a national model for other organizations delivering similar services. The organization wanted to accomplish the following:
- provide key critical services without turning people away
- partner with local communities to provide appropriate service levels
- offer educational outreach so their services ultimately become unnecessary
Over the years of acquisition, limited investment had been made to the information infrastructure of the organization. File cabinets dominated the office space, and paper overload was rampant. Although the organization had a small network, the employee responsible for managing it left the organization shortly after the most recent acquisition. Recognizing that growth, and developing a model others would emulate, required streamlined processes, the organization called on RCR Associates to work with the IT organization.
Approach
RCR Associates worked with the Controller and the Vice President of IT to identify current needs and organizational goals.
The needs assessment uncovered a requirement to start from scratch and create an IT architecture that would support high volume information processing. RCR Associates helped the organization determine the appropriate business applications, staffing needs and organizational model.
Results
By starting with the organizations needs, RCR Associates effectively led the charge to evaluate and purchase the appropriate business systems. Although this was a large capital investment, the organization saved hundreds of thousands of dollars by allowing them to reduce clerical staff and cut operating costs by 1/3. Additional cost savings came from automating processes and removing the need to store thousands of pounds of paper freeing up expensive floor space, and allowing the organization to reduce the square footage they needed to rent.
Through careful analysis and management, RCR Associates was able to help the organization have their network managed by an outside firm, reducing the need to hire a dedicated network specialist.
